1 Simple tool to make events go smoothly

Everyone who’s been in charge of planning an event – no matter the size – knows that even small events can get hectic when you’re down to the wire. Keeping information up-to-date and in one place can become a job in itself, and even the most experienced event planners can’t have all the necessary information in their heads at all times.

 

 

The solution? Create a 1-page event overview that includes the need-to-know information about your event. That’s it!

Here are some examples of what to include:

  • Event title
  • Date
  • Start and end time
  • Speaking times
  • Main event contact name (with phone number and email listed)
  • Venue name and address
  • Venue contact person
  • Food and beverage service times

You can also include your overall event objective and goal of what a successful event would achieve, as well as a rough timeline that accounts for set up and take down, speeches and introductions, and any other relevant information.

Of course there are all the other key elements to consider when you get into the details; the audio visual, the printed materials & signage, the food and beverage. Will your event have a signature cocktail? What about a DJ or other types of entertainment? Is there a theme to consider?

 

 

An event one-pager is useful for all internal and external stakeholders who play a role in the event. It gives volunteers, vendors, dignitaries and any other participants the need-to-know information so they can see at a glance what’s happening and what is expected of them. The last thing an event planner needs on event day is having to take time to answer the same questions repeatedly!
